How Do I Create a Handbook?

VirgilHR allows you to create a customized, compliant employee handbook tailored to your organization’s needs. Follow these steps to get started.

1. Getting Started

  1. Go to the Handbook Section
    • Hover over the left navigation menu and click the Handbook tab.
  2. Click "New Handbook"
    • If you don’t have an existing handbook, you’ll see a New Handbook button in the center of the page. Otherwise, click New Handbook in the top-left corner.
  3. Enter Company Information
    • Company Logo (optional)
    • Company Name (required)
    • Handbook Name (optional)
  4. Define Your Handbook
    • Select a handbook type.
    • Choose the applicable states and/or cities if relevant.
  5. Click Next to proceed.





2. Completing the Questionnaire

Before selecting a creation method, you’ll need to answer a short questionnaire that helps customize your handbook based on your company’s requirements.

  • The questionnaire consists of admin-set questions related to compliance, policies, and company details.
  • Once completed, click Next to proceed to handbook creation.

📌 Your responses will help ensure the handbook includes all relevant policies based on your company’s needs.


3. Choosing a Creation Method

Once you’ve entered the basic details, you’ll be prompted to choose how to create your handbook:

  1. Create from Scratch – Manually select policies to include. 
  2. Upload an Existing Handbook – VirgilHR will analyze your document and suggest missing policies. For details on uploading an existing handbook, see Can I Upload My Existing Handbook?
  3. Download a Pre-Generated Handbook – Instantly download a pre-filled handbook with all mandatory policies to your computer.


4. Selecting and Adding Policies

  • If creating from scratch or uploading a handbook, you will be directed to the General Policies section.
  • Select and add policies suggested to you from the Policy Topics panel.
  • Click Next to proceed to the State Addendum section (if applicable).
  • In the State Addendum, select and add policies suggested to you from the Policy Topics panel based on the states chosen.
  • Click Next to continue.







5. Finalizing Your Handbook

  • Review Your Handbook: Click Preview to check the content before finalizing.
  • Adjust Formatting: Hover over a section you'd like to edit and click on Format Style to modify formatting if necessary. Then, click Save to save changes.
  • Complete Handbook Creation: Click Complete in the bottom right corner to finalize and save your handbook.
